This Privacy Policy explains how Premier Pool Builders (“we,” “us,” or “our”) collects, uses, and protects information when you use our customer portal (the “Portal”). The Portal lets our customers follow their pool construction project, review selections and documents, communicate with our team, and pay project invoices online.
1. Information we collect
We collect only the information needed to manage your project and your account:
- Account information — your name, email address, phone number, and password.
- Project information — your property/service address, project details, milestones and draws, material selections, documents, photos, and messages you exchange with our team.
- Billing information — invoices, payment amounts, and payment status. Card and bank-account details you enter to pay online are collected and processed directly by our payment processor (Stripe); we do not store your full card or bank-account numbers on our systems.
- Technical information — basic log data such as your browser type and activity within the Portal, used to keep the service secure and working properly.
2. How we use information
- To create and manage your account and give you access to your project.
- To communicate with you about your project, scheduling, selections, and billing.
- To prepare and issue invoices and to process payments you choose to make online.
- To keep our accounting records accurate by syncing invoice and payment status with our accounting software (QuickBooks Online).
- To secure the Portal, prevent fraud, and comply with our legal and tax obligations.
3. How information is shared
We do not sell your personal information, and we do not share it for advertising. We share information only with service providers who help us operate the business, and only as needed:
- Stripe — to process online card and bank (ACH) payments securely.
- Intuit QuickBooks Online — to create invoices and record payment status in our accounting system.
- Infrastructure and communication providers — for secure hosting, email notifications, and document storage that power the Portal.
These providers are permitted to use your information only to provide their services to us. We may also disclose information if required by law or to protect our rights, safety, or property.
4. QuickBooks and Stripe integrations
When you pay an invoice through the Portal, the payment is processed by Stripe and the corresponding invoice and payment record are updated in our QuickBooks Online account. Our use of information received through the QuickBooks Online API follows Intuit’s requirements, and information obtained through those integrations is used only to operate the billing and accounting features described in this policy.
5. Data retention
We keep your information for as long as your account is active and as long as needed to complete your project, meet our accounting, tax, and legal obligations, and resolve any disputes. When information is no longer needed, we take reasonable steps to delete or de-identify it.
6. Security
We use reasonable administrative and technical safeguards to protect your information, including encrypted connections and access controls. Online payments are handled over secure, encrypted channels by our payment processor. No method of transmission or storage is completely secure, but we work to protect your information and to promptly address any issues.
7. Your choices
You may review and update your account information by signing in to the Portal, or by contacting us. You may request a copy of the personal information we hold about you, or ask us to correct or delete it, subject to records we are required to keep for tax and legal purposes. 8. Children’s privacy
The Portal is intended for our customers and is not directed to children under 13. We do not knowingly collect personal information from children.
9. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the effective date at the top of this page. Significant changes will be communicated through the Portal.
